The following statement is made in light of current data protection legislation and the requirement to alert you to the practices which will govern the processing of your data by the MHSF. 1. The MHSF will obtain information about you when you e-mail the website and/or the charity’s email address, make a donation to the charity, or contact the charity in writing, by telephone in person, or by other means. 2. The type of information collected includes names and addresses, email addresses, telephone numbers and fax numbers, and the value of any donations made to the charity. 3. Information collected will be used to provide you with information or services requested, and/or for administration purposes, and/or to aid the charity’s specific fundraising activities. 4We use tools to monitor the effectiveness of our communications with you, including email tracking, which, for example, records when an e-mail from us is opened. From time to time we might screen your data against publicly available records (for example to find a change of address for a lost alumnus from the electoral roll). 5. By providing us with your data, you consent to the collection and use of the information provided in accordance with the terms of this statement.

Data Storage & Sharing

1. The MHSF undertakes that the information they keep is never sold or passed on by them to third parties for purposes unconnected with the MHSF, Old Millhillians Club or Old Belmontian Association; it is only used by them, or by others on their behalf and under their direction, for purposes related to the MHSF, Old Millhillians Club or Old Belmontian Association. These purposes include allowing you, the Friends, the MHSF and the Clubs to communicate effectively, administering the Old Millhillians Club and Old Belmontian Association, keeping information up to date and supporting the activities of the MHSF. 2. The MHSF will store your information on a web server and may also store your information in a digital format and/or on paper at its offices. Information will be kept secure by taking appropriate technical and organisational measures against its unauthorised or unlawful processing and against its accidental loss, destruction or damage. You have a statutory right to see a copy of the information we hold about you on payment of a fee which is currently £10. Requests must be made in writing to the MHSF at the address detailed in the ‘About’ section above. 3. Similarly, if you wish to be removed from the MHSF database, your request must be made in writing to the MHSF at the address detailed in the ‘About’ section above. 4. Where required to do so by law, the MHSF will transfer the information it holds on its database/s to the relevant, legislative authorities.
